Workshops are hands-on: participants practise, build or solve something together, so batch size and preparation matter. Ocvite lets you design an invitation that lists what to bring, the session structure and venue, then share it with participants and keep the group size in check by watching RSVPs in real time.
Tell participants what to bring, how long the session runs and what they will create, all in one workshop invitation.
| Capability | What it does |
|---|---|
| Materials and prerequisites | Note laptops, software, stationery or prior reading in the details so participants arrive ready to work. |
| Small-batch control | See the confirmed count and plus-ones clearly so a hands-on session does not exceed the trainer's ideal group size. |
| Instant participant replies | Participants confirm in a tap, letting facilitators prepare the right number of kits, handouts and workstations. |
| Preparation reminders | Send a reminder before the workshop about setup steps, such as installing software or bringing a charged laptop. |

Answers to common questions about creating, sending and tracking workshop invitations.
Choose a workshop template on Ocvite and customise it with the skill or topic, facilitator name and photo. Add the date, timing, venue, an agenda and a note on what to bring. Share the invite with participants by WhatsApp, email or link, and they can confirm their place directly.
Explain what participants will learn or make, who is facilitating, the duration and breaks, and the venue. Most importantly, list prerequisites and materials, such as a laptop with specific software installed, notebooks or comfortable clothing for activity-based sessions. Mention the batch size if places are limited.
Send workshop invitations two to four weeks ahead so participants can block their calendar and complete any pre-work. For internal training, coordinate with managers so release time is approved. A reminder two days before helps when software installation or reading is required.
Keep an eye on the attending count as responses arrive. Since hands-on sessions work best with limited participants, stop sharing the link once confirmations reach your batch size, and politely point later responders to the next session. Ask participants not to bring plus-ones unless agreed.
Yes. If demand is higher than one room can handle, create a separate invite for each batch from the same template, changing only the date and time. Each batch then has its own guest list and RSVP count, which makes trainer scheduling and material preparation much simpler.
